Staff Renter Inc. ("Staff Renter", "we") operates a technology platform, website, and mobile application that connects businesses ("Clients") with independent contractors ("Candidates") for short-term and on-demand work.
This summary describes how we collect and use personal information in the app.
We collect personal data in these categories:
- Account data: name, email, phone, address, date of birth, password
- Candidate data: skills, experience, certifications, availability, work permits, languages, profile photo, electronic signature
- Client data: company name, business legal name, business address, billing contacts and billing email, and Canadian tax identifiers (GST/HST/QST/PST registration numbers) entered for invoicing purposes
- Work-related data: contracts, timesheets, messages, ratings
- Device and session data: IP address, device type, operating system, device identifiers, push notification tokens (FCM/APNs), login activity, crash reports, and technical diagnostic data
- Cookies and similar technologies: we use strictly necessary cookies on app.staffrenter.com to keep you signed in (session cookie), to prevent cross-site request forgery (CSRF token), and to remember your language preference. We do not use analytics, marketing, or tracking cookies. Because these cookies are essential to operating the site, your consent is not required, but you can clear them at any time through your browser settings.
- Location data (with your consent): GPS data to validate arrival, attendance, and nearby opportunities
- Documents: CVs, identity documents, signatures
- Orientation video recordings (with your consent): video and audio you record using the in-app virtual orientation feature. The video is hosted by our service provider Tolstoy (see "Data Sharing")
- Sensitive data: tax identifier (SIN) — collected only when strictly necessary for payouts and stored in encrypted form. Banking information is not collected by Staff Renter; it is entered directly with our payment provider Stripe through their hosted onboarding flow
- Calendar data (with your consent): we add Staff Renter events to your calendar for accepted contracts and scheduled interviews. We do not read or transmit your existing calendar events
We share your data only when needed to operate the Platform:
- Between Clients and Candidates: the minimum information required to perform a mandate (profile, schedule, job details, ratings, relevant transaction details)
- Service providers acting on our behalf:
- Stripe: payment processing, Candidate payouts, identity verification (KYC), and banking onboarding entered directly with Stripe
- Twilio: SMS notifications and verification codes
- Google (Firebase Cloud Messaging): iOS and Android push notifications
- Google (Maps, Places, Geocoding API): address autocomplete and reverse geocoding of GPS coordinates during punch-in
- OpenAI: automated analysis of your CV content to pre-fill your profile (United States)
- Tolstoy: hosting and playback of your virtual orientation video; we transmit your first name, last name, and email to associate the video with your account (United States)
- Sentry: crash reports and technical diagnostics, without information that directly identifies you
- Mandrill / Google Workspace: delivery of transactional email
- Cloud hosting: Platform infrastructure
- Government authorities: when required by law
We do not sell your personal data.
Payments are processed through Stripe as our third-party provider.
- Full credit card details are never stored on Staff Renter servers.
- Limited transaction records (amounts, identifiers, billing history) are kept for accounting and tax purposes.
- For Candidate payouts, Stripe may conduct identity verification (KYC) and collect regulated financial information directly.
- Banking information for payouts is collected directly by Stripe through their hosted onboarding flow. Staff Renter receives only limited payout and account status data and transaction records needed to operate the Platform.
Retention:
- Account data: for the duration of your account plus a reasonable period
- Contracts, invoices, and financial records: typically 6 to 7 years to comply with tax and legal obligations
- Technical and usage data: shorter periods suited to their purpose
Certain data may be kept longer to resolve disputes, prevent fraud, or meet legal retention requirements. Archived copies may remain in backups for a limited period.
Security:
- HTTPS connections and encrypted storage
- Restricted employee access with audit logging
- Secure servers and infrastructure
- Fraud monitoring
- Regular backups
- Optional biometric authentication (Face ID, Touch ID, fingerprint): if you enable it, biometric templates remain stored on your device by the operating system and are never transmitted to Staff Renter.
No system is 100% secure, but we apply reasonable industry safeguards.
Subject to applicable law, you can:
- Access your personal data
- Correct inaccurate data
- Close your account from Account Security → Close account in the app. Closure immediately disables your account and blocks further login. Closure alone does not erase your data — to have your personal data deleted, submit the request below.
- Request deletion of your personal data by emailing support@staffrenter.com. We respond within 30 days after verifying your identity. Upon a verified request, we delete or irreversibly anonymize your name, email address, phone number, profile photo, CV, identity documents, signature, messages, location data, and device identifiers. Transactional records (contracts, timesheets, invoices, payment records) are retained in pseudonymized form for the period required by law — typically 6 to 7 years — under federal and Quebec tax retention rules (notably section 230 of the federal Income Tax Act). This retention is permitted by section 23 of Quebec's Act respecting the protection of personal information in the private sector (Law 25). After that period, the records are destroyed or irreversibly anonymized.

Some of our service providers (notably Stripe, Twilio, OpenAI, Tolstoy, Google, and Sentry) process your data in the United States or elsewhere outside Canada. We apply contractual and technical safeguards (standard contractual clauses, encryption in transit and at rest) to provide a level of protection consistent with Quebec's Law 25.
- We process data in accordance with Quebec's Law 25 and Canada's PIPEDA.
- The Platform is not intended for anyone under 18.
- In the event of a security incident, we will take prompt containment measures and notify affected users and authorities where required by law.
